About the Job:

The Indiana Department of Revenue is currently seeking Seasonal State Workers. These positions will focus on preparing incoming tax documents for further processing OR the verification and processing of tax returns and related documents through data entry.

Salary:

These positions start at a salary of $11/hour but may be commensurate with education and experience. These positions are seasonal based on the needs of the agency during the tax preparation season.
 

A Day in the Life:

Documentation Prep/Mailroom
The general purpose of this position is to prepare incoming tax documents for further processing in an efficient and effective manner, with the highest level of customer focus and accuracy, with a strong commitment to the taxpayers of Indiana.
  • Sort incoming mail by P.O. Box
  • Sort mail by size on the mail sorting machine
  • Open mail on both automated and assisted mail opening machines, prepping currency and coupons for processing
  • Discerns between tax types in order to prepare the documents as needed for the current operating software in a timely manner as determined by the Agissar INFOPoll
  • Documents the specifics of each batch of prepared documents and claims ownership for work by signing off on tray tags
  • Transports documents and returns to the imaging area for further processing.

Image Scanning
The position is responsible for the operation and maintenance of the Image Scan Equipment both IBML Scanners, Panasonic Scanners, Opex Equipment and both ITRAN machines, which are located at the Department of Revenue/Returns Processing Operations.
  • Operates and maintains specialized high speed transports to include the ITran and Opex Equipment for the imaging of the return, voucher, and/or check, which is exported for deposit and entry into the Host System (RPS). General PC skills and ability to reference all systems that are utilized to confirm accuracy and completion are required. The current systems are TMS/EFlow, Fairfax, DORSTOR, Soft Trac Capture Suite, RPS, Workflow Monitor, Quick Reports, Quick Key and Income Statement Search Tool..
  • Assure that proper statue dates (postmark dates) are properly identified thus ensuring the Returns Processing System (RPS) properly applies penalties and interest for late returns, returns received with no payments or returns received with partial payments.
  • Research various tax documents for scanning on IBML equipment for Export to TMS/EFlow
  • Work all rejected returns and checks and determine if eligible for re-scanning or if it has to be re­ directed for manual processing by another section.
  • Researches and prepares a Daily Discrepancy Report for the purpose of balancing between IBML and TMS, an email is sent declaring batch counts and which jobs were ran (for split shifts as needed) for the IT Staff to balance in the background tables.
  • This position requires you to stand for the entire 7.5-hour shift

What We're Looking For:

  • High School diploma or GED
  • One (1) year of office clerical OR documentation preparation experience

What You'll Need for Success:

Documentation Prep/Mailroom
  • Ability to read and discern P.O. Box numbers, tax types, tax forms, schedules etc, with training
  • Ability to operate office machines related to specific area of work, such as automated mail opening equipment, assisted mail opening equipment, and bar code scanners utilized for various tax types, with training
  • Ability to apply and understand ethics and confidentiality laws
  • Ability to bend, walk, stand, and sit for moderate to long periods of time
  • Ability to work while being monitored for productivity
  • Ability to operate a hand operated pallet jack
  • Ability to lift up to 50lbs
  • Ability to communicate both orally and in writing
 
Image Scanning
  • Ability to do research and to compile gathered materials
  • Ability to communicate orally and in writing
  • Tact in dealing with other agency personnel and the public
  • Ability to stand on your feet for a extended periods of time

Benefits of Employment with the State of Indiana:
This position does not offer benefits and is limited to 180 working days in an eleven (11) month continuous period.
